DS1140 for main contractors and coordinated documentation
Coordinate the documentation before work starts
A DS1140 main contractor workflow brings each subcontractor’s agreed records into a coordinated project delivery. The first task is to establish who supplies the instructions, who performs each check and who reviews the resulting evidence. KS Danmark can assist with the documentation work within an agreed scope. Responsibilities depend on the project and appointments; appointing documentation support does not transfer every design, execution or certification duty.
Translate the delivery schedule into practical assignments
Start with the project’s current documentation requirements and work packages. For each delivery, name the company responsible, the document expected, the reviewer and the date needed. Use a description that a site supervisor can act on. A general request for quality assurance leaves too much room for different interpretations. Link the assignment to the relevant construction section and instruction so the recipient knows which part of the project it covers.
Agree the delivery format before collecting records. Explain how locations, drawing references and document revisions will be identified. A consistent structure helps the main contractor review incoming material without renaming everything at handover. Keep unresolved requirements visible and send questions to the person authorised to clarify them.
Check the boundaries between subcontractors
Documentation often becomes unclear at the point where one subcontractor’s work becomes another’s starting condition. An installation may be covered by the next trade before a planned check takes place. Discuss these boundaries during planning, and identify which activities need a review before work proceeds. The timing and control scope come from the project requirements, rather than a generic checklist on this page.
For example, two packages may refer to the same opening using different room names. Agree one location reference and show which drawing revision applies. This practical example illustrates coordination; it does not prescribe a technical acceptance criterion for the opening. Record any unresolved interface with an owner and a next action.
Keep B2 requirements connected to B3 evidence
The main contractor should be able to find the record that answers each relevant planned control. When reviewing a delivery, look for the control reference, location, date, person performing the check and the result. Ask for clarification when a collection of photographs has no link to the planned activity. More files do not necessarily make an incomplete delivery easier to assess.
A B2 control plan and a B3 control report serve different purposes. The plan describes the control to be performed; the report records its execution and outcomes. Keep their references consistent. This documentation connection supports review, while the required type, level and extent of control remain project-specific.
Manage changes without losing the earlier record
When the design or working instruction changes, identify which packages and pending controls are affected. Record the replacement reference and inform the relevant teams. Do not overwrite an earlier observation simply because the drawing has since changed. Retain the original record and add the dated explanation, follow-up or correction required by the project procedure.
Keep an open-items list that distinguishes a missing record, a technical deviation and an unanswered design question. Each needs a different response. Assign the next action to a named person, with a realistic deadline. A status such as awaiting information is useful only when it also identifies whose information is needed.
Prepare a delivery that can be reviewed
Before submitting a package, check whether the agreed material is present and whether its references are readable. Separate issued documents from drafts and superseded instructions. Provide an index that lets the recipient move from a construction section to the relevant evidence without searching through personal folders. Keep the issue date and outstanding items explicit.
Treat this review as an ongoing activity. Waiting until handover to request records may leave concealed work difficult to verify. If evidence is missing, describe the gap accurately and seek a project-specific assessment. Do not recreate an inspection result that was never recorded or promise that a later photograph will resolve every concern.
How KS Danmark can assist the main contractor
Send the current control basis, document index, subcontractor delivery list and outstanding questions to KS Danmark. We can discuss assistance with control plans, control reports and as-built documentation within an agreed assignment. Explain which work has already been carried out and which activities are scheduled next so the review can focus on practical priorities.
Agree the deliverables and the boundaries of the assignment before work begins. Preparation support, independent control and the certified structural engineer’s functions are distinct. KS Danmark does not promise approval on another professional’s behalf. A clear assignment makes it easier for the project team to know what support it is buying and what information it must still supply.
Frequently asked questions
Does the main contractor produce every subcontractor record?
Not necessarily. Agree who prepares each delivery and how it reaches the coordinated package. The allocation follows the project’s appointments and requirements. A practical delivery list should make the responsible company and reviewer visible.
Can a standard checklist replace the project control plan?
No. A generic checklist can help organise work, but the required control must follow the applicable project basis. Check references, timing and scope before using a template on site.
What should we send for an initial review?
Send the current control requirements, relevant drawings and revisions, a list of subcontractor packages and a concise description of missing or disputed records. Identify the approaching deadline and the contact responsible for coordination.
How should missing evidence be recorded?
State what is missing, where it relates to the work and when the gap was identified. Preserve available evidence and seek the relevant professional assessment. Do not replace a missing result with an unsupported completed status.
Does documentation support guarantee acceptance?
No. A coordinated package helps reviewers locate and assess the material. Acceptance depends on the actual work, applicable requirements and the relevant review process. Confirm responsibilities and approval routes within the project.
